2. Purpose of Data Processing

ORGANIZING | SWISS processes personal data to deliver its services safely, discreetly, and efficiently, including:

  • Guest Relations & Lifestyle Management
  • Mobility & Vehicle Services
  • Real Estate & Project Coordination
  • Medical & Health Organisation
  • Security & Family Protection
  • Expat & Relocation Support
  • Emissary & Mediation
  • Special Requests

Data is processed strictly to fulfil these service-related purposes.

3. Categories of Personal Data

3.1 Basic and Communication Data

Name, address, phone numbers, email, language preferences, communications.

3.2 Service and Contract Data

Bookings, service requests, coordination notes, schedules, instructions.

3.3 Travel and Mobility Data

Travel itineraries, locations, pick-up and drop-off points.

3.4 Family & Household Data (upon request)

Family structures, household information, preferences, lifestyle details.

3.5 Financial and Billing Data

Invoices, payments, contractual information.

3.6 Special Categories of Personal Data (Art. 9 GDPR / FADP)

Processed only with explicit client instruction:

  • medical information
  • security or protection-related details
  • data of minors (e.g., school selection, travel arrangements)

These are handled with the highest confidentiality and security standards.

4. Legal Basis for Processing (GDPR)

  • Art. 6 (1)(b) performance of a contract
  • Art. 6 (1)(f) legitimate interest (secure, efficient service delivery)
  • Art. 6 (1)(a) consent for specific cases
  • Art. 9 (2)(a) explicit consent for special categories of data

For Swiss clients, the processing follows the revised FADP.

5.  Disclosure of Data

Data is only disclosed when strictly necessary for service fulfilment, including to:

  • hotels, airlines, FBOs, private aviation partners
  • medical specialists
  • security providers
  • chauffeurs and mobility partners
  • real-estate and relocation partners
  • event and lifestyle providers
  • IT and secure-communication service providers

Data is never sold and never disclosed for advertising purposes.

6. International Data Transfers

If required for service delivery (e.g., travel coordination, security arrangements), data may be transferred outside Switzerland or the EU.
Transfers occur only if:

  • an adequacy decision applies, or
  • Standard Contractual Clauses (SCC) are in place, or
  • the client explicitly instructs such transfer.

7. Retention Period

Personal data is retained only as long as necessary for:

  • fulfilling the service
  • legal retention obligations
  • safety, compliance, and documentation needs

After the retention period, data is deleted or anonymised in accordance with applicable laws.

8. Data Security

ORGANIZING | SWISS applies high security standards, including:

  • encrypted communication channels
  • strict access controls (need-to-know principle)
  • secure IT infrastructure
  • regular security reviews

Special data categories receive enhanced protection.
